Privacy Policy

This policy describes how USAJobsAssistant handles information when you use usajobsassistant.com. USAJobsAssistant is an independent resume improvement tool. Not affiliated with USAJOBS, OPM, or any federal agency.
What we collect and why
- Account information: your email address, account identifier, and authentication records, used to sign you in and protect access to your checks.
- Resume checks: uploaded PDF or DOCX files, extracted or pasted resume text, the text you review and confirm, job announcements, follow-up answers, findings, and suggested wording. We process this information to produce and let you retrieve your improvement report.
- Operational records: check identifiers, timestamps, processing status, file metadata, errors, and usage or cost records, used to run the service and enforce check allowances. Hosting and authentication providers may also process IP addresses, browser information, and security logs.
Resume content can contain personal information about you and other people. Remove Social Security numbers, identification documents, financial details, medical information, and confidential or classified information before uploading. Include only information you are authorized to share.
Third-party services and AI
Cloudflare hosts and delivers the website. Supabase provides authentication, database storage, and private file storage. Trigger.dev runs document extraction, analysis, and cleanup jobs. Our authentication email delivery service processes your email address and sign-in message.
When you confirm a live analysis, we send your reviewed resume text and job announcement to OpenAI. Follow-up analysis also sends your submitted answers and earlier findings. The current analysis integration sends text, not the original PDF or DOCX file.
We mask common email addresses and formatted phone numbers in resume text, announcements, and answers before sending them. This is not complete anonymization: names, addresses, employers, other identifying details, and information in earlier findings may remain.
We request that OpenAI not store the API response by setting store: false. This does not mean zero retention. OpenAI states that API data is not used for model training by default unless the customer opts in, and that abuse-monitoring records may be kept for up to 30 days, or longer for legal or safety reasons. See OpenAI’s data controls and retention policy. Deleting a check here does not erase provider records already retained under those policies.
How long information is kept
- Original uploaded files: scheduled for deletion after 24 hours from the upload record’s creation.
- Saved checks: resume text, announcements, answers, findings, and related processing records expire seven days after the check is created. Editing or finishing a check does not restart this period.
- Cleanup: scheduled every five minutes. Physical removal can take longer when jobs or providers are unavailable. Backup copies and provider logs follow the relevant provider’s retention policies and are not covered by the seven-day check expiry.
- Accounts and usage: your account and check-allowance records do not expire with a check. They currently have no automatic expiry. Cost accounting records also remain; these contain job identifiers, amounts, and timestamps, not resume text.
- Downloaded reports: copies you save on your own device remain until you delete them.
How to delete your check
- Sign in to your saved checks.
- Open the check you want to remove.
- Select Delete check now and confirm. Repeat for any other checks.
This removes the check and its text, answers, and findings from the active database and immediately revokes access through the service. Uploaded file removal is queued. A request already sent to an AI provider may finish and remains subject to that provider’s retention policy. Deleting a completed check does not restore its allowance or delete your sign-in account.
To request account deletion or ask about your personal information, email help@usajobsassistant.com from your sign-in email address. We may need to verify account ownership before acting. There is currently no self-service account deletion control. Account records are separate from the check deletion described above. Do not attach your resume or identity documents to your request.
Privacy questions and support messages
Contact USAJobsAssistant at help@usajobsassistant.com. Support messages are forwarded through Cloudflare to our Gmail inbox. Your email address and message are processed by those providers so we can respond. Support correspondence is separate from saved checks and is not automatically deleted after seven days; request its deletion by email.
Cookies and access protection
We use authentication cookies to keep you signed in. The application does not include advertising trackers. Saved checks require authentication and ownership checks, and uploaded files use private storage. These measures reduce risk but cannot guarantee absolute security.
